Many people think of overwhelming anxiety as an inevitable part of the interview process. But the truth is, your nerves can be greatly eased once you learn how to properly prepare for an interview. Not only will this make you feel a whole lot better going in — odds are, with a clear head, you’ll actually do a better job.

Ready to learn how to walk into an interview with confidence, and knock it out of the park?  Follow these five steps.

1. Research the Company

Recruiters and hiring managers don’t just want to know about your skills and experience — they also want to know how knowledgeable you are about the company. In fact, questions like “What is the name of our CEO?” and “Who are our competitors?” are both among the most commonly asked interview questions. But even if you don’t encounter a question like this, looking up the basics of the company is still worthwhile.

Use Glassdoor and online searches to learn about the company’s industry, products, mission, names of leaders, competitors, recent news and more. Then, you can drop these tidbits of newfound knowledge throughout your responses — e.g., when asked “Why do you want to work here?” a candidate might say, “The reason I decided to apply to this job was because of how much your mission resonates with me. I truly believe that making affordable, high-speed internet widely accessible will help bring the world closer together.” This proves a few things: a) you’re passionate about the opportunity, b) you’re a proactive self-starter with good critical thinking skills and c) you’re a good culture fit for the company.

You can also use this info to ask more informed questions of the interviewers themselves — more on that later.

A lot of candidates stress out over not knowing what a recruiter or hiring manager is going to ask them. But in reality, you’ll get a lot of the same questions from one person to another. There are a few basic questions that you’ll almost certainly be asked — these include staples like “Tell me about yourself,” “Why do you want to leave your current job?” and “What are your biggest strengths and weaknesses?” If you’re a data-driven job seeker, you’ll appreciate the list of the 50 Most Common Interview Questions that Glassdoor identified after sifting through tens of thousands of interview reviews.

You can also use Glassdoor’s interview reviews to find out which questions they specifically ask at the company you’re applying to, as well as which questions are common for your job title. Sure, you might be thrown an oddball interview question every now and then, but you’ll likely find that the vast majority of questions you’re asked are ones that you can identify in advance.

3. Rehearse Your Answers

Now that you have an idea of which questions you could be asked, it’s time to think about how you will respond to them. Keep in mind that in general, interviewers want responses that are specific, positive, impactful and genuine. If you want to know what kind of answers recruiters and hiring managers are looking for from specific questions, check out Glassdoor’s How to Answer the 50 Most Common Interview Questions.

Don’t just think about what your response should entail — go ahead and write it down. You probably shouldn’t write out full answers — that can result in you memorizing the responses verbatim, which can come across as too rehearsed — but making a bulleted list of key points you want to hit is a great idea. Try using the worksheet at the bottom of this blog post to sketch out your answers.

After you’ve written down the key points you want to hit in common interview questions, it’s a good idea to hold a mock interview aloud with a friend or family member. Some people might feel a little shy about doing this, but brush these feelings aside as best you can — in my experience, this is the number one way to improve your odds of succeeding in an interview. Doing a dry run will allow you to get any mistakes you might make out of the way before it counts against you, and also helps you get valuable feedback, so don’t skip this essential step.

4. Come Up With Your Own Questions

One of the questions you’ll almost always be asked by an interviewer is “Do you have any questions for me?” It might seem innocuous, but believe it or not, this is a very common area in which candidates trip up. Interviewers aren’t just asking this question to be nice — it serves as somewhat of a litmus test for whether or not you’ve done your research, are a good culture fit and demonstrate strong critical thinking skills.

Use the research you gathered in step two to help you craft intelligent, informed questions about the role and company that will give you a fuller picture of what it’s like to work there and what it takes to be successful. For example, if you learned that the company you’re applying to is launching a new mobile app, you might say “I read that your company is launching a new mobile experience soon. Can you tell me more about that, and how it relates to this position?” You can also use this opportunity to dig into anything that hasn’t been brought up yet or covered in sufficient detail, like company culture, how the company defines success and what drew your interviewer to the company.

5. Hammer Out the Logistics

Congrats — if you’ve gotten through the previous four steps, you’ve already gotten the hard part out of the way! Now, all you have to do is think through all the little logistical details of your interview. These can vary depending on what kind of interview it is — phone, video, in-person, etc. Here are a few things to keep in mind for some of the most common types of interviews:

Phone Interviews

  • Pick a quiet place with good service to take the call
  • Confirm the day and time, accounting for differences in time zone
  • Confirm how you’re getting in touch with the hiring manager (Are they calling you? Are you calling them? Will you call their cell, or a conference number?)
  • Review the job description and company information 30 minutes before the call
  • Breathe — try to stay relaxed and focused!

Video Interviews

  • Pick a quiet place with good lighting and a simple background to take the interview
  • Do a test run to try out the video software
  • Restart your computer before the interview to help avoid technical difficulties
  • Dress like you are going to an in-person interview

In-Person Interviews:

  • Research standard company attire and dress one step above that
  • Have directions to where you’re going
  • Print multiple copies of your resume
  • Plan on arriving 30 minutes early, but wait in your car or at a coffee shop nearby until 5 minutes before
  • Brush your teeth or chew some gum before walking in
  • Run through your cheat sheet of responses, and a list of questions to ask each interviewer

Preparing for an interview the right way does take some work on your part, but believe us — it’s worth the effort. Who knows? You might just find that interviews aren’t as scary as you thought after all. Now go out there and get ‘em!

Here, we’ve distilled the basic steps you need to take to assess any offer, and how to begin a negotiation with a potential employer. It doesn’t have to be intimidating with these steps!

ASK THE RIGHT QUESTIONS

When you receive a job offer, you need to hit pause long enough to ask yourself questions before you give an answer, according to Glassdoor’s guide–and Elizaga totally agrees.

“It is crucial to take a step before taking a leap,” she says, advising that you first ask, “is this job what you want to be doing? And does it align with your skills, talent, and purpose?”

You may also want to evaluate what the upward trajectory, in other words, the possibilities for advancement at this company, are, says Elizaga. “You want to consider not only the wonderful aspects of this job, but where you might rise to in the future,” Elizaga explains.

LOOK AT THE OFFER DETAILS

The next step in evaluating a job offer is to move past the job and look at what is also being offered in the pay and benefits package. NEGOTIATE LIKE A PRO

The idea of negotiating can be unnerving to many people, but it doesn’t have to be difficult.

According to our guide, “one of the worst things you can do during salary negotiation is just make up a number. By backing up your ask with research, you’ll likely feel more confident about making it.” Luckily, you can use Glassdoor’s Know Your Worth™ salary calculator to discover the job’s average pay range. “It’s important to know what is reasonable for the market,” Elizaga agrees. That’s because, in part, “you don’t want to be negotiating for more when, in fact, what you are being offered is entirely reasonable and/or generous,” she says.

Of course, you don’t want to focus on salary alone. Before you begin your negotiation, think about whether the other benefits–vacation, commissions, bonuses, stock options, and so on–are appropriate and appealing, or could be tweaked to make the offer even better off.

Then, “when negotiating, think about what value you bring to the table, rather than how their first offer is deficient or not enough to cover your lifestyle,” advises Elizaga. “Consider the offer from the employer’s point of view. What are they getting for the compensation that they’re offering? If you think you contribute more value than the compensation would indicate, then definitely ask for more.” Or ask for an expansion of their benefits package.

Lastly, “when going in to negotiate, have a strategy and be entirely comfortable with what you’re asking for,” she says. Employers can tell when you don’t believe your own story. You’re much more likely to get what you want when you emphatically believe your value.”

It’s the question that none of us want to be asked: “Why were you fired?

You’re on the edge of your seat, heart pounding, beginning to sweat. You have only a few seconds before you need to formulate a response. How can you give an answer that both honestly explains the situation and still makes you look good?

To find out how to answer tricky questions like this one, and more, we sat down with Kerry Hannon, seasoned career expert and author of Love Your Job: The New Rules for Career Happiness.

“We know job interviews are incredibly nerve-wracking. You have total strangers grilling you, and they’re scary, and it can be intimidating,” says Hannon. “But you’ve got to have some chutzpah,” she adds.

Take a reflective, rather than a reactionary tone, Hannon advises. “Pause before you respond. Even repeat back the questions. Buy yourself some time to gather your response. Don’t just jump off with an answer… And then come out with a confident and calm response.”

Here are a few of the toughest interview questions, and Hannon’s advice for blowing them out of the water.

1. Why were you fired?

Getting fired is way more common than we might think, and that can be a comfort. “The most important thing to focus on is that for your own sanity. Realize that almost everybody has been fired at some point from a job. The interviewer has probably been down this road themselves,” says Hannon. She adds that this question might trigger an emotional reaction in you, even if you prepare for it, so it’s important to be careful, honest and brief. “Position that situation as a positive learning experience,” advises Hannon. She recommends talking about how your expectations for the job were different than what the reality of the job was.

2. Tell me about a time when you had to work with a difficult person.

Once upon a time, Hannon says she had a very difficult boss, so it’s easy for her to relate to this question. “It was really challenging working with this individual, but what it taught me was empathy, because it made me think about what were his challenges right now.” Maybe he himself was working for a difficult boss, or was having his own struggles with the job, Hannon says. Instead of making a knee-jerk reaction and complaining, this is a time for introspection.

“You might say in your interview, it really taught me to take the time to find out what my boss was going through… and understand why we had this communication issue,” she counsels.

3. Why did you choose your profession?

Questions like this one aim to prompt you to show your passion and drive for your career — a time to give a full background of why you love what you do. “This is the time where you can tell your story. Interviewers love this. It gives them a peek into who you are, what kind of person you are, what kind of communicator you are, what sort of drive and motivation you have,” she says.

4. Where do you see yourself in 5/10 years?

This is a tricky question because it can force you to reveal that you don’t plan on having a long-term career with the employer in question. Hannon advises against revealing this, and instead speaking more generally about the type of work environment you would like to see yourself in. “What I like to say is, ‘I imagine I’m going to be working alongside really smart, positive, enthusiastic people, who will encourage me, and who I’m learning new things from, and that I’m being creative,” she says. Additionally, speaking about the specifics of what type of job title and specific responsibilities you want isn’t always the best approach. “Rather, make it a really collaborative answer about [fusion_builder_container hundred_percent=”yes” overflow=”visible”][fusion_builder_row][fusion_builder_column type=”1_1″ background_position=”left top” background_color=”” border_size=”” border_color=”” border_style=”solid” spacing=”yes” background_image=”” background_repeat=”no-repeat” padding=”” margin_top=”0px” margin_bottom=”0px” class=”” id=”” animation_type=”” animation_speed=”0.3″ animation_direction=”left” hide_on_mobile=”no” center_content=”no” min_height=”none”][what] kind of work environment you hope you’re in and why,” Hannon adds.

5. What’s wrong with your past/current employer?

Hannon advises against going into detail on these questions — especially if those details are negative. “Be generic as possible, and stay away from real specifics here,” she counsels. “Negative things are never somewhere you want to go in an interview.”

6. Tell me about the worst manager you ever had.

This question is not about throwing your old manager under the bus, but rather reflecting on what you learned from working with them. The phrase “my worst boss taught me…” is one Hannon mentions as being a good way to frame a difficult experience you had with a manager. “It’s all about taking the high road and being gracious in many ways,” she says.

7. What’s the worst job you ever had?

Again, the blame game is never a good interview strategy. Hannon recommends saying something like: “the job wasn’t quite right because there was a lack of opportunity that I thought might have been there, but didn’t see.” Neither is blaming the “bad job” on your former manager, coworkers and company, or yourself. “Refocus and reframe it, but try to move on as quickly as you can,” adds Hannon.

8. What attributes do you have that will support you in this role?

Hannon recommends answering this question in the context of why you have enthusiasm for your broader career. In talking about what about the job excites you, explain how you’ve specifically worked towards being good at it. “If there’s a profession you really love, you can just really fire up and say … that’s why I developed x, y, and z skills. That gives you the chance to zoom, to show your excitement, energy and passion,” she says.

9. Why did you leave your last job?

If you’ve left your last job and are looking for a new one, chances are it wasn’t quite satisfactory. But there’s no need to talk about the negatives of the job or the company. “It’s always reframing it into what you learned from that experience, not why it was a bad thing,” says Hannon. “Don’t blame them, and don’t blame yourself, just say it wasn’t a good fit,” she continues.

10. Do you have any questions for me?

“You need to be asking them tough questions,” says Hannon. It is through these questions that you can figure out whether or not the company is a good fit for you. In addition, the questions you ask can be a means to show that you have thoughtfully researched the company. Don’t ask questions that you can find the answers to on their website, but questions that show a deeper level of thinking, like “What is your long-term vision for the company,” “what are the biggest challenges your team is facing” or “what does it take to be successful here?”

The most competitive opportunities have multiple rounds of interviews, with 3 rounds being commonplace.  While the overarching objective throughout the process is to assess the mutual fit between job seeker and employer, each stage places a different emphasis on the traits the employer wants to analyze.  The earlier stages focus on ensuring you have the core qualifications, while the latter stages go deeper on your potential fit with the organization culture.

Here are some tips to help you ace each stage of the interview process.

First Round

The first interview will likely be conducted by a recruiter who is focused on ensuring they can present you as a candidate to the hiring manager.  They will be listening to hear that you have experience in the core skills outlined in the job description.  For example, they may want to hear that you have SQL experience when interviewing for a data analyst role.  

Because this round is more about ensuring you fill the right checkboxes, you want to make sure you cover enough ground to connect the dots between the job description and how you describe your experience.

Additionally, you want to ensure you demonstrate interest in the role, as the recruiter wants to ensure they are passing candidates to the hiring manager that have a reasonable chance of accepting an offer, if presented.

Second Round

This is where things get very interesting, as there is typically several interviewers in this round, with multiple varied objectives.  Here are some of the people you may interview with, and what they are looking for in your candidacy.

The 3 types of interviewers you may encounter

1.  Cross-Functional Stakeholders

Organizations are increasingly employing matrixed collaboration models, where employees have to collaborate with other functional groups, and are held accountable by them, in addition to their direct boss.  This requires hiring people with the right collaboration mindset to successfully navigate the inherent complexity of the model

When these stakeholders are interviewing you, their main objective is to understand what it will feel like to collaborate with you.  For example, in the Product Management Interview, engineers will ask Product Managers about their approach in aligning on scope and prioritizing what the engineers will work on.  They will also assess your capabilities of doing the job (e.g., analyzing requirements), but the emotional gut-feel of how they perceive your working style, will play an outsized role in determining whether they give their approval.

This is why it is important to prepare by thinking through at least 2 examples of how you have successfully collaborated with others in the past, and have clarity on the following:

  • How did you build a strong working relationship (e.g., trust-based, collaborative)
  • What were measures of success and how did you ensure all parties were recognized?
  • How would others describe your working style?

2. Peers

It is common to be interviewed by your future peers, also for the same reason cross-functional stakeholders interview you.  But a core difference from other stakeholders is that your peers can go very deep in understanding your discrete skills.  For example, it is common for Product Marketers to interview their potential peers and ask them detailed questions on campaign strategy, customer insights, and how they conduct market research.  

To effectively prepare for this interview it is helpful to outline some frameworks you can internalize that outline your approach to common activities required of your job.  For example, if you are a product marketer, what is your approach to launching a new campaign?  You might outline a simple structure as follows:

  • Identify the campaign objective (e.g., create awareness)
  • Analyze customer segments
  • Research competitor campaigns
  • Test and iterate 10+ copy/creative combinations
  • Measure <specific KPI’s> and scale

The goal of outlining these frameworks beforehand is to help guide you in impromptu questions so you have a starting point in the answer, which solves a common pain point for job seekers who know how to do their job but are not sure how to frame up a cohesive answer that makes it easy to understand.

3.  Hiring Manager

Hiring managers are listed last in this section because it is common for them to place significant weight on the feedback from peers and cross-functional partners, as they know your productivity will heavily rely on your ability to collaborate with these groups.

Hiring managers tend to look at the big picture, and often focus on the weakest areas of your candidacy, some of which may be informed by the other interviewers.  The 2 most common areas of weaknesses that are pressure tested are:

  • Relevant experience:  Hiring managers will be accountable for your performance, and this can lead to risk mitigation instead of taking the candidate with the highest potential.  As such, it is common for them to ask deep questions about your  “hard skills” and whether you have applied them in a similar environment (e.g., industry, company size, operating model). This is why you want to go through the job description, line by line, and ensure you have talking points about your relevant skills, even if you do not have direct experience, for each one.
  • The “why” behind your job history:  The two patterns hiring managers look for is your tenure at each job and the progression of your roles.  Given this, it is important to have a 2-3 liner ready to articulate the motivations behind the different moves in your career, and how each transition helped you grow and build further capabilities.

Final Round(s)

If you are invited to the final round, it means you have demonstrated the skill and organizational fit required to succeed, and now the focus shifts to a relative comparison between you and other final round candidates.

Some of the types of interviewers of round 2 will show up again, and the same strategy is applicable, however, there are also 3 nuanced interview types that are more common in final rounds.

1. Panel Interview

The panel interview is a unique opportunity to see how you interact in a group setting, tailor your communication to a varied audience, and manage the stress of simultaneous interviewers.

It is helpful to think of this interview as simulating what it will be like to be in everyday group meetings and approach the interview with that mindset.  This means addressing everyone in the room and truly focusing on engaging with the audience as softer skills play a larger role here than in the first round.

2.  Group Presentation

These typically consist of 2 components.  First, you will be asked to introduce yourself and highlight your core experience.  Second, you will be given a specific prompt pertaining to the business and you have to demonstrate a thoughtful strategy and approach to address the “problem.”  This often can resemble a case interview, but where you are given more information and time to present a more thorough point of view.

For this interview type, you want to do 3 things:

  • Practice a synthesized (i.e., under 5 minutes) story that answers the question “Tell Me About Yourself”, with a focus on connecting the dots between your experience and the opportunity.
  • Budget 2 minutes per slide, and practice your cadence to ensure the presentation is the appropriate length.
  • Practice presentation delivery ahead of time, but do not memorize it, and do not read word for word from the presentation.

A Framework For Every Round

Before every round and each interview, think through the following to focus your preparation on the most important areas.

  • Who is interviewing me and what do they care about most?
  • What might they perceive as a weakness in my candidacy, and how can I address it?
  • What characteristics do I want to highlight about my candidacy that can help differentiate me from other applicants?

Much like dating, the smell of desperation in the job search can be palpable. Whether the bills are piling up, your current gig is an absolute dead end, or whether this is your dream company, avoid telling a recruiter that you’ll “take anything” for a few key reasons:

  1. You’re selling yourself and your skills short. You are talented, smart, and can contribute greatly.
  2. You appear uninformed. Recruiters want well-researched, highly engaged, informed candidates to apply for jobs. This statement makes you appear as though you haven’t thought out the decision to apply to the company, or do not know how your career goals align with their objectives.
  3. You are signaling that you will settle. Continuing with the dating analogy, job seekers who appear “thirsty” or desperate won’t command the attention or best treatment.

“SURE, THAT SOUNDS LIKE A GOOD SALARY”

Never settle for the opening salary offer. Never. “A salary negotiation is a collaboration, and a key ingredient of a successful collaboration is good communication,” says Josh Doody, author of Fearless Salary Negotiation. “You’ll often get a job offer that seems really appealing, and it might be far more than you expected. Your instinct in that case might be to just accept the offer because it’s so good.”

However, you should be prepared to negotiate your salary and know how much you could earn given your skills, education, and location by using Glassdoor’s Know Your Worth personal salary calculator.

Instead of blindly accepting their offer, do your research. Then, Doody says, “formulate a counteroffer to see how much you can improve it. The negotiation should end with the company saying “Yes” to you. Once they say “Yes” to you, or you run out of things to ask for, then you are finished negotiating.”

“MY PREVIOUS COMPANY WAS HORRIBLE”

Complaining about your last company is a big no-no. Barring some really unique circumstance, griping about your former boss, colleagues, or work environment can be detrimental to your interview process as well as your professional reputation.

Instead of making such a blunt statement, critically evaluate how you have navigated challenges on the job. Share with the recruiter how you have coped and actually thrived in spite of less than ideal circumstances. Just remember, trash talking is a no-no.

“MY FORMER BOSS WON’T GIVE ME A GOOD RECOMMENDATION BECAUSE HE/SHE WAS THREATENED BY ME”

While there may be truth to this statement, save it for your friends over drinks. Do not share this with a recruiter. When asked for a list of recommendations, rarely will a recruiter counter your list with a comment like, “Why didn’t you include your last boss?” References and recommendations should come from people who can speak to your accomplishments, successes, and positive work experiences. Glowing recommendations are a big part of putting your best foot forward.

However, recruiters aren’t likely to care about the less than savory relationship you had with your former boss. Nix the gossip. Offer up the best recommendations you can, and if you are questioned about the absence of your most recent boss in that bunch, simply reply, “The group of people I provided are best suited to speak to my accomplishments, work ethic, and abilities. I think they’ll provide you with a 360-degree view of why I’d be an excellent fit for this role.”

“I KNOW MY INTERVIEW IS TODAY, BUT CAN WE RESCHEDULE?”

Unless there has been a death in the family or a critical emergency, canceling an interview on the day of is tantamount to saying “I don’t really want this job and I don’t respect you or your time.”

If you need to adjust the time or you’re running late, be transparent. “Being late to an interview with no explanation or without emailing or calling ahead to say they are running late will knock out 99% of interviewees,” says Jamie Hichens, senior manager of talent acquisition at Glassdoor. “At the very least, if you’re running late, call and offer an ETA, an explanation, or an offer to reschedule. And remember to apologize for the inconvenience.”

“IT’S BEEN 3 WEEKS SINCE I APPLIED, I THOUGHT MY APPLICATION HAD FALLEN INTO THE BLACK HOLE”

Depending on the size of the company, job applications can receive hundreds or thousands of resumes per position. And while recruiters try to respond to everyone, sometimes it’s harder than job seekers may think. That’s no reason to be curt with a recruiter or make a passive-aggressive comment like this. Use your time with a recruiter wisely by focusing on the role, the company and your unique fit for both. Don’t waste time or diminish your chances of a positive interview experience by making snarky comments.

If you’re uncomfortable asking for favors, include an easy way for them to say no, like, ‘If you’re not comfortable connecting me, I completely understand.’”

Joshua Domitrovich, coordinator for career mentoring and internships at Clarion University, recommends that soon-to-be graduates begin participating in mock interviews about two weeks before a real interview.

“This allows students to reflect on their experiences while ‘messing up,’ so that they don’t mess up with the employer,” he says, while adding that many career centers, including Clarion, offer mock interview services. “Career centers will tailor your mock interview to mirror the organization you are meeting and discuss how to develop questions for the end of the interview,” he says. “You’ll walk out of your practice interview much more prepared.”

2. Create a Custom-Tailored Resume

A generic resume just won’t do, warns Jason Patel, former career ambassador at George Washington University and the founder of Transizion, a college and career-prep company. “For example,” he explains, “a business development or communications graduate might be applying for work in the finance, nonprofit and startup sectors. He or she should look at the common keywords for job postings in each of those sectors, and if they are relevant to their experience, use them on his or her resume. The worst thing a soon-to-be graduate can do in this situation is have pertinent experience for a job but apply with a generic resume.”

3. Get a Resume Review

Now that you have a resume custom-tailored for your position or industry, it’s time to make sure the resume itself is top-notch. “No matter how confident you are in your resume,” you should still have your resume reviewed by someone else — preferably a professional, says Domitrovich. This is an especially important step if you have a resume that’s more than six months old. In that case, “there is a good chance processes, procedures and preferences of employers have changed,” Domitrovich warns. “So use your career center to review your resume and ensure it is up to date and mistake free.”

4. Craft an Elevator Pitch

An elevator pitch is a quick, rehearsed speech that tells someone what you have to offer as an employee. “Your two-minute elevator pitch should answer the always-asked, ‘tell me about yourself’ question in job interviews,” Patel explains. “Since this question — or one like it — is asked in the beginning, it’s important to demonstrate confidence and preparedness by answering smoothly. Your elevator pitch consists of what you’ve done, what you’re doing and where you’re going. This means you should discuss your qualifications and degree, what you’re pursuing now and your intermediate goals.”

5. Network Like You Mean It

“If you’re not networking, you’re not working,” Domitrovich says plainly. “You never know who a contact is connected to and how far your network can reach.” Luckily, you don’t have to start your networking search from scratch. “Your career center can provide access to a vast network of alumni and employers,” Domitrovich says.  “Tapping into this network can provide opportunities to use pre-existing relationships to get your foot in the door. We encourage students to keep their career centers updated on their job search process. For example, before applying to XYZ organization, reach out to your career center to see if any alumni or a pre-existing employer relationship exists.”

6. Create a Portfolio if Relevant

Creating a portfolio and then putting it online can help you stand out in a major way. “For relevant professions, a portfolio is a great way to gain an advantage on the competition,” Patel says. “Sometimes, your resume won’t convey your creativity and transferable skills, but your portfolio can.” Consider uploading writing samples, photography, designs and any other assets you’ve created to a single website such as WordPress. You may have to spend some time on it, but it could pay off in spades down the road.

Just parted ways with your last employer in a less-than-desirable manner? Chances are you’re finding it tricky to land a new job. You may find yourself in an uncomfortable position when a job interviewer asks you, “So why did you leave your last company?”

You’ll need to walk into that job interview with a narrative that reflects well on you, no matter what actually happened. The challenge is to create a story that positions you positively in the eyes of potential employers–yet remains true to the facts. Here are the four things your narrative needs to accomplish in order to walk that line successfully.

1. SHOW RESPECT FOR THE COMPANY YOU LEFT

First, avoid answering the question directly. Do not immediately say, “I left because . . . ” It may feel like a dodge, but it’s important to lay a strong foundation first. To do that, start off by making it clear that you respect your former employer. No firm is likely to want you if you put down your previous company; any reasonable hiring manager will worry that you’ll eventually turn on them as well.

Sometimes being positive might take an effort, but it’s one worth making. That also means resisting the urge to blast the company on social media or even on platforms like Glassdoor that let you post anonymously. It often doesn’t take a sleuth to guess who might’ve uploaded a rant.

So kick off your account of why you got fired, laid off, or quit on a note of positivity–pretty much no matter what. Employees occasionally leave for high moral principles, criticize a company’s practices, and land on their feet by attracting a like-minded employer. But these scenarios are typically the exception. The general rule to follow is to speak favorably about your latest work experience.

2. EMPHASIZE WHAT YOU LEARNED

Next, turn to the contributions you made in your last job–how you advanced the goals of your company and strengthened your own skills. Sure, there were some areas that were less exciting, but in the narrative you’re crafting you don’t need to discuss everything. Explain how you gained professional experience in the role and how it positions you for the new one you’re interviewing for.

Mention, too, the leaders who influenced and mentored you, and describe how they helped you mature in your role. (By the way, don’t wait long after your departure to let those allies know you appreciated their mentorship. It’s not only common courtesy, but this bridge building will come in handy when you need a reference.)

3. STATE IN ONE SENTENCE WHY YOU LEFT–AS POSITIVELY AS POSSIBLE

The previous two steps should only take a few sentences–don’t spend too much time laying this foundation, otherwise your interviewer might cut you off and press you to give a straight answer.

Now we come to a crucial part of your narrative: explaining why you left your last job. Don’t lie. Clearly and succinctly state what happened, taking care to put the best possible face on the reasons for your departure. For instance, if you left as part of a corporate reorganization, emphasize those changes above all others. Those are “forces beyond your control,” and don’t reflect on your abilities or the quality of your work.

If you quit, explain that you contributed a great deal to your last firm but wanted a company where you could offer still more. If you were fired, explain (with an eye on your new firm) why the fit wasn’t quite right, but why you’re well-suited to this opportunity. Once you’ve laid the groundwork, these trickier lines are much easier to deliver candidly, confidently, and compellingly.

4. SHOW HOW EXCITED YOU ARE ABOUT THE NEW OPPORTUNITY

Your storyline isn’t done yet. Close out the narrative by showing excitement about the firm you’re interviewing with.

As the president of a company I founded and directed for 25 years, I interviewed tons of job candidates, and anyone we hired–no matter their work history, warts and all–had to convince me in their interviews that they’d love working here. The best candidates had researched our firm, and had thought long and hard about the position they were applying for. They talked more about the excitement of the job and spent less time simply praising themselves. They knew about our core offerings and who our major clients were. They did not overuse the word “I” but talked about themselves in terms of what they could accomplish in the new role. This positive, forward-looking, enthusiastic approach not only got them hired, but these were the folks who contributed the most as employees.

Good jobs are hard to come by, while bad jobs can continue to affect your career trajectory long after they’re over. Don’t let that happen. Present yourself in the best light, and others will see you that way. If you can develop, write out, and learn this narrative, you’ll be able to deliver it confidently and spontaneously in all your career conversations.

A powerful thank-you note can land you the job–we’ve seen it happen frequently with the candidates we place. (And on the flip side, we’ve seen bad thank-you notes damage a candidacy.) Here are four tips from our recruiters for writing the kind of thank-you note that impresses hiring managers.

1. TAKE NOTES IN YOUR INTERVIEW

This tactic isn’t just about looking (and being) more engaged in the interview–though that certainly wins you points. It’s also about writing a better thank-you note later. Mark down important points you discuss in the interview. What imperative job functions do your interviewers bring up? Are there any problems they’re facing as a company that you could help with? Do they pose any questions that you might be better able to answer after a bit more thought? These are the kinds of things to add to your thank-you note later. Time and again, we find that a generic thank-you note–one that feels like it’s copied from a template–will never impress hiring managers like a thank-you note that makes reference to specifics from the interview. In fact, in some cases, a generic thank-you note will hurt your candidacy more than help it! There are hiring managers that think a generic, template-like thank-you note shows so little effort that they think less of a candidate.

2. BE PROMPT

A thorough, detailed thank-you note that’s beautifully written will never make much of an impression if it’s too late. Especially in some fast-paced fields like the tech industry, healthcare or marketing, time is of the essence. When you finish your interview, head home as soon as you can to write your thank-you note. Sending it the day of the interview (if possible) or within 24 hours is ideal, although sending the note 48 hours later can be acceptable if you get really tied up. If you send the note late, you might find that the hiring manager has already assumed you’re not sending it and dinged your candidacy or rejected you for it.

3. SEND INDIVIDUAL THANK-YOU NOTES

If you interview with multiple people, try to get their individual contact info from your recruiters. Writing each of them a note will show a level of care that goes above and beyond what most candidates demonstrate. If you can add a detail to each note that really personalizes it, that’s even better. Especially today, the trend is for workplaces to be focused on building a great corporate culture, which often requires teamwork and strong interpersonal skills from all levels of employees. Showing off extra effort in your soft skills can be key for your candidacy. Individual, personalized thank-you notes could make you seem like the kind of team player that hiring managers will love working with.

4. CONSIDER ADDRESSING WEAKNESSES OR CONCERNS WITH YOUR CANDIDACY

This may not always be necessary. However, if you felt there were concerns or weaknesses brought up in your interview, a thank-you note can be a great place to address that. The key is to keep things positive and, if possible, focus on how you’re already working to remedy these potential issues. If you can handle this right, your thank-you note can significantly strengthen your candidacy, as it’s your last impression that you leave on a hiring manager before they make their decision.

For many jobseekers, it can be confusing and downright frustrating to try to understand what a recruiter is thinking when he or she reviews a resume or is evaluating a candidate post-interview. Most recruiters would like to speak with everyone personally, but some of their job postings have so many people applying, that they often have to rely on form letters.

Here are some insights into all those questions you would love to ask the person on the other side of the “Apply” button.  

Scenario #1: I just clicked Apply and submitted my application. What happens now?

After a job is posted, recruiters will spend time reviewing applicants and setting up interviews for the most qualified people. They also do some proactive searching for skilled candidates if they’ve got a really tough job to fill. After interviews wrap up, recruiters spend a lot of time comparing notes with the hiring teams. During those discussions, they will offer expertise to influence hiring decisions and help determine the best person for the job.

Scenario #2: I thought the interview went well, then I got a form letter. What happened?

Don’t take a form letter as a sign of not doing well; it’s possible that you did a great job, someone else just did slightly better. Recruiters truly wish they could respond to everyone personally, but some of their open jobs have literally hundreds of people applying.

Scenario #3: Is it a bad idea for me to apply to the same role multiple times?

It’s not unheard of to apply multiple times before being hired, especially at well-known companies or in competitive industries. The key is to show the recruiter you have something new to offer the next time you interview. Start by doing an honest self-assessment of your interview performance:

  • Did you struggle to provide strong answers? 
  • Did the recruiter have to ask follow-up questions to understand your responses? 
  • Did you make it to the interview step or were you declined during the apply phase? 

Whatever you uncover, know that you don’t necessarily have to offer something drastically different the next time, sometimes just improving your interview performance is enough. But if you were declined early in the process, take some time to consider whether you met all the criteria for the role. You may want to take a few months to obtain new skills or experiences before trying again.

Another best practice is to take some reflection time immediately following an interview. Write down everything you can remember – questions you were asked, your answers, what you did well, and what you would improve.

Scenario #4: Why didn’t the recruiter offer me feedback after the interview?

Recruiters and the hiring team collaborate before deciding where strengths and opportunity areas exist, so immediate feedback wouldn’t be helpful to the applicant. Another reason is time – offering feedback to a large volume of applicants isn’t very efficient. Even if only a few people applied, many recruiters are hesitant to give feedback due to legal reasons.

Scenario #5: How can I stand out during the interview process?

Believe it or not, simple things like professionalism, manners, and a polished presence make a huge difference. Display your enthusiasm for the job and practice articulating your qualifications so they’ll sound natural, not rehearsed. Make sure to research the hiring company so you’ll sound informed, and avoid gimmicks. And don’t forget to send a personalized “thank you” note – you’d be surprised how many people forget.

Scenario #6: I was originally scheduled for a phone interview in two days, now it’s pushed out two weeks. Is this a bad sign?

Not necessarily. Many industries (banking, finance, PR, to name a few) have frequent emergencies that need addressing right away. If your interview is rescheduled once or twice, that may be a normal course of business. Five or six times? It could be a sign that the business or person is a bit disorganized. Chat with a trusted contact in your industry to uncover if this is normal.

Scenario #7: During an interview, I was only asked two or three questions. Should I be concerned?

There are many reasons for short interviews, so don’t worry too much about the length. Sometimes, recruiters identify something early on that tells them they want to move a candidate to the next step in the process; they then save deeper questions for that stage. Many phone screens, for example, only take about 15 minutes. It could also be that your interviewer isn’t prepared for the conversation or is newer at interviewing. Always make sure to ask your own questions to demonstrate your interest in the role. Asking solid questions can make a more memorable – and more positive – impression.

Scenario #8: I get so nervous during interviews! Will this affect my ability to get a job?

While it’s true that you are being assessed on your ability to stay composed in a tough situation, how much you are measured will depend on the role. For example, if you are applying for a senior leader position, recruiters will expect you to appear confident and relaxed.

In other roles, many recruiters will overlook slight nervousness, but if your emotions get out of control (crying, gasping for air, being unable to speak) it can negatively affect the impression you make. There are little tricks to look less nervous than you feel – smile a few times, avoid conversations fillers (such as “um” and “uh”) and don’t be afraid to pause if you need a moment to compose your thoughts. Above all, realize that recruiters empathize that interviewing is hard. Remember that they brought you in for a reason – they want you to do well and get hired.
